Join us – apply today!This position reports to two Directors: 1) Talent Audit and 2) Residuals.You would be responsible for the day-to-day workings of the leaders you support. The ideal candidate would be an individual with high energy, a helpful attitude, an independent producer, very proactive and willing to tackle new assignments. The individual would also be flexible, very service oriented and demonstrate strong attention to detail.What You Will Do
- Manage and coordinate calendars for your leaders, managing prioritization and scheduling conflicts across internal and external stakeholders
- Coordinate complicated multi-stakeholder client meetings and logistics for Talent Audit and Residuals teams
- Book meeting rooms and schedule telephone and video conferences
- Produce and maintain expense (T&E) reports
- Maintain accurate and organized files, databases, and document sharing applications for the teams
- Work across Microsoft Office applications
- Screen telephone calls and forward as appropriate
- Provide general office management support to the teams, including office space planning and new hire onboarding and set up
Required Qualifications & Skills
- At least two years in an administrative support capacity
- Sharp written and verbal communication skills, including clean grammar and a robust vocabulary
- Ability to multi-task and prioritize deadlines/deliverables
- Strong proficiency with all types of computers, phones and office equipment
- Mastery of Microsoft Office programs, good skills in SAP, SharePoint and Concur
- A calm head and steady hand to deal with the unexpected
- Confidence to learn new programs when necessary
- Complete reliability handling confidential information
- Desire to truly be helpful to your leader and the overall team and to go the extra mile without being asked, to build solid inter and intra-team relationships
- Some flexibility in your schedule – we value work/life balance, but in a pinch, a bit more time is needed
- Very strong organizational skills and attention to detail
- A professional demeanor, positive outlook, and a can-do attitude
Preferred Qualifications
- Experience with SAP
- Experience with Concur T&E software
- Experience working in a large publicly-traded company
Education
- Preferred: Bachelor’s degree
Additional InformationThis position falls within the jurisdiction of the OPEIU Collective Bargaining Agreement. The pay rate for this role in Glendale, CA is $22.91 per hour.
