Job description: We are looking for a personable and skilled Receptionist to join our team of dedicated employees. Applicants should have a strong work ethic, the ability to work independently, and a passion for working with kids and families.This position works with our Family Center and is responsible for managing the scheduling for all therapists, general hospitality of the office, clerical duties, and providing excellent service to our clients. All New Horizons’ Staff are expected to study, practice and operate within the New Horizons’ Philosophy of Keeping Kids First.Keeping Kids First requires that every decision and action be motivated by and geared toward meeting the highest need of the individual kid. New Horizons will not tolerate anyone who is not committed to keeping kids safe from abuse, neglect and exploitation.At New Horizons, we Keep Kids First while providing a safe, therapeutic and loving environment for kids and adolescents. We provide services for children and adolescents affected by abuse, neglect and exploitation through our Child Placing Agency, FAYS counseling program, and our two residential treatment centers; the Audrey Grace House in Abilene, Texas and The Ranch located near Goldthwaite, Texas.Our Family Center providers therapeutic services and resources to children and adolescents in foster care for Abilene and the surrounding areas.We are looking for an individual who:

  • Demonstrates strong organizational and time management skills; and
  • Demonstrates excellent written, oral and electronic communication skills.

Job Responsibilities include, but are not limited to:

  • Keeping Kids Safe!
  • Following the New Horizons’ Employee Handbook;
  • Receiving all incoming clients and guiding them to the proper staff for services;
  • Working collaboratively with other personnel and/or service providers and professionals;
  • Managing the appointment schedule for all therapists;
  • Managing the waiting list for intakes and CANS assessments
  • Maintaining contact with clients to schedule, confirm, adjust or reschedule appointments;
  • Taking FAYS referrals and distributes them as assigned
  • Sets up all client records and appointments for billing
  • Receiving phone calls and messages while screening them and routing or forwarding them to the appropriate staff;
  • Demonstrate excellent phone etiquette and interpersonal skills;
  • Providing, managing and maintaining the organization, accessibility and confidentiality of user-friendly filing systems;
  • Ensuring all files are stored in a secure and functional manner;
  • Abiding by New Horizons’ and contract guidelines for maintaining all entered and terminated client files;
  • Accurately managing data entry in our electronic database systems;
  • Completing office correspondence and clerical documentation in a timely manner while adhering to deadlines;
  • Monitoring, reporting and maintaining the facility in a safe, clean and functional manner;
  • Maintaining inventory control and purchasing of office supplies; and
  • Ensuring office equipment remains operable.

Qualifications for Administrative Assistants include:

  • Applicants must be at least twenty-one (21) years of age;
  • Applicants must have a High School Diploma with one (1) year administrative/clerical/secretarial experience or nine (9) months formal training;
  • Applicants must the ability to operate various office equipment;
  • Applicants must have basic accounting skills;
  • Applicants must be familiar with forms maintenance, filing, supply accountability, and requisitioning;
  • Applicants must have insight and understanding of cultural diversity and have the ability to work with diverse populations;
  • Applicants must pass a criminal background check, drug screen, and tuberculosis screening;
  • Applicants must demonstrate effective oral and written communication skills, including proper telephone manners, as well as excellent organizational skills; and
  • Applicants must demonstrate the ability to fulfill the technological requirements of the position, including: a working knowledge of Windows operating system including XP to the most current edition, Microsoft Word and Excel, email and electronic communications and effective Internet browsing in regard to information gathering, and research.
