Job description: SUMMARYIn support of the Charlotte County Clerk of the Circuit Court and County Comptroller mission as guardians of public records and assets this position is responsible for overall support of the Clerk’s records warehouse which provides storage, records retention, records retrieval from paper and microfilm media. Provides operational backup support of the Clerk’s mailroom and purchasing functions such as processing and sorting mail, creating requisitions, purchase orders and receiving items. Additionally, this position maintains the Clerk’s vehicle fleet.

  • Records Transportation: Drives the Clerk’s van to pick up boxes from other agencies for storage. This involves using and handling a hand dolly and/or pallet jack, which requires heavy lifting, frequent bending, twisting, and turning. Must have the ability to judge distances when moving boxes within office areas to ensure safety while transporting files.
  • Inventory Management: Receive new boxes into the Records Warehouse inventory system, organize them, and assign box numbers and location IDs for storage purposes.
  • Records Retrieval: Handle requests by searching databases and/or physical box locations for various documents, such as permit numbers, case numbers, personnel files, finance files, and payroll records for both the Board of County Commissioners and Clerk files.
  • Document Shredding: Prepare documents for shredding, follow shredder procedures, and move shredded materials to the large recycle bin using carts as needed.
  • Mailroom Support: Assist with Clerk mailroom functions as required, including processing inbound, outbound, and inter-office mail.
  • Purchasing Support: Provide backup support for purchasing functions, such as communicating with vendors, creating purchase requisitions, generating purchase orders, accurately receiving delivered items, and entering them into the ERP system.
  • Fleet Maintenance: Routinely check and maintain Clerk vehicles, including scheduling service appointments. Ensure vehicle cleanliness by washing and vacuuming interiors.
  • Additional Duties: Perform other duties as assigned.

OTHER SKILLS AND ABILITIESStrong reading comprehension and attention to detail is required. Knowledge of imaging equipment and Windows based software is helpful. Ability to type 35 wpm. Must work cooperatively as a member of a team and work well under pressure. Knowledge of microfilm processing procedures, equipment and computer assisted record keeping experience is preferred. Attention to detail is highly required, must be no room for error.QUALIFICATIONSTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
