Job description: We are seeking a Legal Secretary to join the Business Litigation practice group. This role involves working closely with shareholders and paralegals in Family Law and General Law practice areas, supporting a wide range of clients. Key responsibilities include:

  • Providing administrative support to attorneys and paralegals, including receiving, opening, and distributing mail.
  • Transcribing dictations for correspondence such as client letters and engagement letters.
  • Preparing monthly expense reports and credit card statements, and handling document scanning and printing.
  • Maintaining both electronic and physical client files.
  • Managing attorney calendars by scheduling appointments, coordinating schedules, and organizing meetings, pleadings, and electronic filings.
  • Answering phones and communicating with courts and prothonotaries.
  • Entering attorney billable time.
  • Assisting the secretarial team with receptionist duties or covering for other secretaries as needed.

  • High school diploma or equivalent
  • Three or more years of experience as a Legal Secretary or in a related role
  • Proficiency with PACER for searching dockets, party information, and downloading pleadings
  • Familiarity with state filings and various county and prothonotary websites
  • Excellent communication skills
  • Strong writing and editing abilities, with an emphasis on developing thoughtful and persuasive messaging
  • Ability to adapt to a fast-paced work environment
  • Strong organizational, time management, and project management skills
  • Experience with Lackner and Pro Series is a plus
  • Proficiency in Microsoft Office (Outlook, Excel, Word)
  • Self-motivated with a proactive approach to supporting counsel
  • Commitment to professionalism, cooperation, and teamwork

Beneficial Qualifications:

  • Experience with iManage document management system
  • Experience in electronic court document filing
  • Familiarity with ECF for federal court filings
  • Paralegal certificate
  • Active Notary license
