Job description: Main Purpose of Job:The British Government’s British Embassy in Washington DC has an exciting opportunity for a self-driven and enthusiastic individual to join the United States Support Group as a Administrative Officer. In this role you would be working in a diverse international environment side by side with MOD Crown Servants and members of the British Military. UK diplomats, armed forces personnel and other country based staff operating across the British Government’s network of Consulates and Government Offices in the United States. This network provides a platform for approximately 30 Government departments and agencies to conduct their work in the United States and is made up of over 900 staff with a rich and diverse background, skill sets, and experiences.
The primary function of the post holder will be to support Reporting Officers across the US Footprint to ensure the timely submission of all Soldier Joint Appraisal Reports (SJAR) and Officer Joint Appraisal Reports (OJAR). This will require collaboration with internal and external stakeholders from across the US network. The post holder will be expected to become adept in JSP 757 and provide Subject Matter Expert advice to senior stakeholders throughout the organisation. In addition, the post holder will be expected to support the wider function of the US Support Group as when required.
The ideal candidate will be self-driven and enthusiastic with excellent attention to detail. Additionally, the successful candidate must be confident engaging with senior stakeholders from across the organisation and have previous experience working within an office / administrative support environment. It is imperative that the successful candidate IT literate, specifically within MS Office packages.Roles and Responsibilities:

  • Liaise with the defence Global Administrative Unit (GAU) based in the United Kingdom on all HR Appraisal matters, initiate and manage Service HR Appraisals as necessary.
  • Assist Service Personnel based across the US complete the HR Appraisals in the absence of access to the Joint Personnel Administration (JPA) IT system.
  • Liaise with internal and external stakeholders on all MS matters.
  • Liaise with US Department of Defence regarding submissions of nominations for US Military & UK Military nominations for their respective national Honours and Awards. (Army POC for H&A USA).
  • Liaise with the public on all historical enquiries including unit affiliations, tracing old comrades, war graves & Honours and Awards for past service.
  • Act as the liaison between British Defence Staff personnel for processing of Resettlement, Enhanced Learning Credits & Standard Learning Credits documentation and as a conduit to the resettlement agencies in the UK.
  • Assist with discharge procedures for all Service Personnel in BDS in the absence of the Joint Personnel Administration (JPA) IT system.
  • Collate and maintain a central database of job specifications and the administration of regular reviews.
  • Undertake any other duties as directed commensurate to the grade to support USSG outputs.

Essential qualifications, skills and experience

  • IT Literate (MS Word, MS Excel, MS Outlook, MS PowerPoint, Skype).
  • Previous experience working in an administrative support function.
  • Under US State Department requirements, the UK Government in the US may only employ, as non-diplomatic staff, persons who are US citizens, US Permanent Residents, A and NATO visa holders with EAD cards, and L2 visa holders with an up-to-date I-94 form.
